Plan space, food, chairs, parking, and supplies around realistic numbers.
Venue, food, supplies, printing, permits, insurance, and contingency.

Location and access

Address, room, capacity, tables/chairs, washrooms, and accessibility.
Share practical arrival instructions.
Who arrives early, who stays after, and what supplies are needed.
Exits, trip hazards, weather, first-aid location, and emergency contacts.

Communication

Date, time, location, cost, what to bring, RSVP method, and contact.
Names, numbers, dietary needs, accessibility needs, and payment if relevant.
Send a reminder close to the event with key details.
Who answers questions or handles late changes?

Supplies and follow-up

Signs, tape, pens, name tags, chargers, extension cords, cleaning supplies.
Consider allergies, labeling, storage, and cleanup.
Receipts and reimbursements should not be left to memory.
Thank-yous, lost items, photos, next steps, or feedback request.
